ABOUT THIS HELP SCREEN -
Due to the amount of data to show
you, this help screen is a separate
program run from the main program -
therefore your working data will not
be in memory when you return. You
will be warned to save your data if
you make any changes since your last
read, but you need to remember that
you will have to read it back in after
looking at the help screen. Sorry for
this inconvenience.
DATA DISKS
You will need to have at least one
Data disk on which to store your
files. This must be a Prodos formatted
disk. Use your system disk utilities
to format new data disks.
If you do not have a copy of Prodos
System Utilities, contact your local
Apple dealer for one. This program
was written under Prodos 8.v1.4
This program begins by loading itself
into ramdrive (128k IIe,IIc or IIGS)
for faster disk access.
The purpose of using the disk during
the program is to conserve memory for
data.
It is necessary to use the quit
option when exiting in order to reset
the prefix.
MENUS - You will be given a list of
options. One option will be
highlighted. Choose the option you
want by pressing the arrow keys or the
space bar. To select, move the cursor
to the option of your choice and press
return, or press the appropriate
letter or number.
If you press a letter that doesn't
correspond to the menu, the cursor
will move to the top of the list.
There will often be a small delay
between the time you press a letter
and a screen change. Don't get
excited. Let the computer think. If
you press another key, you might make
an unwanted selection from the next
menu. Which brings us to :
ESC - Is used to cancel almost
anything, and go back to the
previous screen or menu.
READ FILE
When selected, the program will search
the disk (on whichever drive has been
specified as the data drive) for text
files, which are data files.
NOTE - If you have a diskette in your
data drive which has text files other
than what has been created with this
program, they will be listed as data
files. If a read is attempted, an
error will occur; it will then be
necessary to re-boot the program.
After the text files have been found,
they will be listed for your selection.
Selection is made as with the main
menu. The space bar or arrow keys move
the cursor. Return selects, and
Esc goes back to the main menu.
Select the file of your choice by
pressing return or the appropriate
letter. Your file will be read and you
will then be returned to the main menu.
ENTER DATA -
Choose this option to start building a
file, or to add to an existing file
(which has been read into memory).
You will be prompted as to what to
enter (first name, last name, etc.).
Names over 30 characters long will be
truncated, and you will be notified.
Editing (before pressing return) can
be done using the arrow keys or the
delete key.
Pressing ESC before the entry is
complete cancels the current entry and
sends you back to the main menu.
You will have a chance to enter a last
name, first name, street, city state &
zip, and then telephone number.
Up to two telephone numbers, each with
an extension number are allowed.
A return enters a null.
The default area code can be changed
with the option INITIALIZATION.
After each entry is complete, you can:
1. Change the entry
2. Continue (go on to next entry)
3. Press ESC and go to the main menu
For details on changing data, look at
the option MODIFY.
MODIFY
This option will first allow you to
find the data you wish to modify, and
allow you to change it (or delete it).
For details on finding the data ,read
about the option FIND.
Your data will appear in the upper
screen. At the bottom will be a menu.
Choose the item you wish to change,
then type in the new value and press
return. The new value will appear at
the top of the screen, replacing the
old.
Continue to make changes in this way
until you are finished .
If at this point (anytime BEFORE you
press ACCEPT ) you decide you don't
want to change anything after all,
press ESC to cancel all your changes.
No changes will be permanent until you
press (A) ACCEPT. Be sure to select
ACCEPT when you have finished making
changes and do want to save them.
You may wish to delete the entry .
Choose delete from the menu. You will
then have one more chance to change
your mind and go back.
You will go back to the menu, then by
pressing ESC (CANCEL) or A (ACCEPT).
FIND -
This option will allow you to first
find some data and then will allow you
to make changes,list to the printer,
or print on an envelope.
Details on making changes, listing to
the printer and printing envelopes are
given under MODIFY and PRINT.
You can find your data by one of
three methods: 1. Name, 2. Telephone
Number, and 3. Inspection of the file
NAME - You may search by a first name,
a last name, or both names.
If you only have a first or last name,
just press return when asked for the
one that you don't have.
TELEPHONE NUMBER - You may put in as
many as two numbers; extensions are
ignored during the search. Any match
will be listed.
INSPECTION - Your data will be listed
for you to choose from. Press F to
advance the listing, B to back it up,
A to accept the one you want, or ESC
to exit the search.
If more than one match is found, you
will be given a selection menu to
choose from. Highlight the name you
want and press return or press the
appropriate number.
You now have found an entry and may
change it or print it.
LIST - This option lists your data
to the screen, three at a time. When
you press a key, another three are
listed until the list is completed.
When the list is completed, you will
be returned to the main menu.
You can stop the list and return to
the main menu at any time by
pressing ESC.
PRINT - With this option, you are
given three other options. You can
list all the data to the printer,
print envelopes, or exit the program.
LIST TO PRINTER - Prints all of your
data in a two column format. Page
breaks are calculated for you based
upon 66 lines per page.
PRINT ENVELOPES - First you will be
asked for a return address. If you
have set up a default address (using
INITIALIZATION) then you will be asked
if it is the one you want to use.
Press Y or N.
NOTE - To change the default return
address, use the option
INITIALIZATION.
If you press N, you will be asked to
give a new return address, which will
be in effect until you change it or
exit the print envelope section.
Pressing ESC while entering an address
will go back to the main menu, as
in Enter Data, and the default address
will be reset.
After entering an address, you will be
given a chance to change it (as in the
Enter Data section). If you choose to
delete this data, the default return
address will be reinstated.
The return address is now printed to
the screen, along with the first name
and address of your data, to inspect.
Setup items are also displayed on
screen. These are envelope size and
characters/inch of your printer.
You are then given a menu to choose
from. There are four options:
FORWARD - This option goes to the next
name, allowing you to choose what to
print. At the end of the data, FORWARD
wraps back to the start of the data.
BACK - Goes back to the previous name.
At the beginning, BACK goes around to
the end of the data to start over.
PRINT - Prints the envelope, then
returns ready to print the next
record.
CHANGE SETTINGS - With this option,
you can change envelope size, or the
characters per inch of the printer you
will be using. (So that spacing can
be adjusted for your printer.)
ENVELOPE SIZE - You will be asked for
the width (left-right). The range is
3 to 8 inches. Estimate to the next
smaller size. You will then be asked
for the length (top-bottom). The
range is 3 inches and up.
CHARACTERS/INCH - Here, you tell the
program the characters per in. your
printer is set on. Spacing from the
edges is based on this data.
This value is limited to 10,12 or 15.
ALPHABETIZE -This option, when chosen
will alphabetize the data in memory by
last name, then first name.
EXAMPLE :
Long Bradley
Long Judy
This may take some time.
SAVE FILE - If you have a file in
memory, you will be asked if you wish
to save under the current file name.
If you do, remember that your old file
will be written over.
If you want to save your data under a
new name, press N, then enter the name.
Use prodos syntax and capital letters.
If you would like a catalog, press C
then return. If you wish to go back to
the main menu, press Q then return.
The disk drive which has been chosen
as the data drive will be used to save
and catalog.
CREATE NEW FILE -
This option is used to erase data
in memory and start over. You will
be warned and given a chance to return
to the main menu (with ESC ) or to
continue. If you continue, your
current data will be erased from
memory and you will be able to enter
new data.
INITIALIZE -
You will be given a chance to change:
the drive and slot of your data disk,
and the default return address.
You will also be able to save these
changes to disk. This is the only way
to make these changes and save them.
SLOT/DRIVE - The current value of the
defaults will be shown under the
cursor. Press return to keep the value
shown, or make a change. You will then
have a chance to confirm or try again.
PREFIX - You may alternately use a
prefix for the data disk.
Do not list an actual file here,
only the volume name/ directory .
Please refer to prodos manuals on
the use of prefixes if needed.
subdirectories may be created by
use of the <Create> command from
Applesoft Basic.
AREA CODE - This works just the same
as with slot/drive. Return accepts
the value shown, or a change can be
made. you can then confirm or reenter.
RETURN ADDRESS -
You will be asked if you wish to keep
the current value. If not, you may
enter a new one. As with Enter Data,
ESC will cancel the current entry and
go back to the previous menu. The
previous default value will be reset.
When the entry is complete, you will
be asked if you wish to make changes.
If you say N, you cannot recover the
original value, default will be set
to the new value (but not saved yet).
If you choose to make changes you can
do so, or ,if you choose DELETE, the
previous default value will be reset.
When you ACCEPT your changes, you will
be asked to confirm the address. If
you do not accept it, the previous
default value will be reset.
SAVE TO DISK - When all of the default
values have been entered properly, you
need to save them to disk. They will
be saved to the program disk.
QUIT -
This option is self-explanatory.
When the program is ended with this
option, the prefix is reset.
I hope that you enjoy the program
and find it to be useful.
The next two pages deal with memory
limitations and possible errors.
Please keep them in mind.
MEMORY LIMITATIONS-
This program is equipped to handle
up to 100 records per file, depending
on the individual record lengths.
With average records, there should
be no problems with memory.
However, with an extensive list, or
after many manipulations of files,
a memory problem could arise.
If the program begins to run much
slower than usual, it is best to
save your file and restart the
program. If the program runs slow
after a re-start, the file should be
shortened and saved. Then re-start
the program and continue with a new
file.
ERRORS AND SOLUTIONS
Listed below are some situations
which will cause the program to
abort or hang, and should therefore
be avoided.
An attempt to read the wrong type of
file. (Not created with this program.)
An attempt to save to a locked file or
a write-protected disk.
No memory left.
An attempt to print without printer on.
Printer not in slot no. 1.
The program may need to be re-booted
after an error has occurred.
ADDITIONAL NOTES -
II GS - In order to print properly
The PRINTER PORT section of the
control panel needs to have the
ECHO turned on.
When installing on a hard drive,
place all files in the same
directory. To start, run the file
Add.Filer.
